Data submitted through the form
The form asks for your name, email address and message. If you choose to provide a phone number, project location, photographs or other information, we use it to understand your enquiry and prepare our response. Please do not submit sensitive data or identity documents through the form.
Purposes and legal bases
We use your data to answer questions, prepare quotes and discuss installation or sample visits. For steps you request before entering into a contract, the legal basis is Article 6(1)(b) GDPR. For general correspondence and communication with company representatives, the basis is our legitimate interest in handling enquiries under Article 6(1)(f). Data needed to comply with legal obligations is processed under Article 6(1)(c).
Contact details and relevant project information are needed to provide a useful response. Submitting a quote request does not subscribe you to marketing messages.
Who may receive your data
Form enquiries are sent to the NEX THERMO team through Zoho Mail. ROMARG hosts the website on a server in Brașov, Romania. Technical providers involved in hosting, maintenance and email may process the data needed to deliver their services. Technical logs may include your IP address, access date, browser and requested page for website operation and security. Data may be disclosed to authorities where required by law.
How long we retain enquiries
For quote requests that do not become orders, the retention period is 12 months from the last relevant communication. Data will then be deleted or anonymised. If an enquiry becomes an order, the periods needed to perform the contract and meet legal obligations apply. Information strictly necessary to resolve a dispute may be retained for as long as needed for that purpose.
Your rights
Under the conditions set out in the GDPR, you may request access, rectification, erasure, restriction of processing and, where applicable, data portability. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.

Website usage statistics
With your consent to the “Statistics” category, we use Google Analytics 4 to analyse page visits and traffic sources, and count successful quote submissions and phone or WhatsApp clicks. Google may process pseudonymous browser identifiers and technical information about your device and website use. We do not send your name, email address or form contents to Analytics. Google Signals and advertising personalisation are disabled.
This measurement relies on consent under Article 6(1)(a) GDPR. The tag loads only after you accept statistics. You can withdraw consent at any time through “Cookie preferences”, without affecting use of the form. Details of cookies and their lifetimes are available in our Cookie policy.
OpenAI advertising measurement
With consent to “Marketing”, we use the OpenAI pixel to measure successful quote requests and assess advertising results. The pixel sends conversion events and advertising attribution identifiers to OpenAI; automatic advanced matching may include contact information hashed in the browser using SHA-256. Our integration does not send the form message text.
You can refuse or withdraw consent through “Cookie preferences”, and the form remains available. See our Cookie policy for data, cookies and lifetimes, and the OpenAI privacy policy for processing by the provider.
External services and cookies
The Contact page includes a Google Maps map. Loading it connects to Google, which may receive technical information such as your IP address. Links to WhatsApp, YouTube and social networks open external services governed by their own privacy policies.
The website uses WordPress technical functions for administration, security and page delivery. We do not use the form to automatically enrol you in marketing. External service policies are available from Google, Zoho and ROMARG. International providers may also process data outside the European Economic Area; their policies explain the locations and applicable safeguards. Contact us for details of the providers used for your enquiry.
